How this is calculated

Billable hours per week = hours worked x billable share. Billable revenue per year = billable hours per week x weeks worked x hourly rate. One extra point of billable share adds 1% of your weekly hours, billed at your rate, for every week you work. The effective hourly rate is billable revenue divided by all the hours you worked, billable or not.

These are your own inputs, not a benchmark. There is no study behind any default value; change them to your numbers.

Minutes to decimal hours

Invoices and rates use decimal hours. Divide minutes by 60. If you bill in increments, round each entry up to the next one: a 6-minute increment is 0.1 hour, a 15-minute increment is 0.25 hour.

Where billable hours go missing

  • Time worked but never tracked, especially short tasks and meetings.
  • Time tracked but never invoiced. A report of uninvoiced time by client shows it.
  • Work that was quoted too low, so the effective rate is under your rate card.
  • Admin that has no client to bill, which is real and belongs in the share you enter.

Questions

What is billable share?

The part of your working hours that you can bill to a client, as a percentage. 24 billable hours in a 40-hour week is 60%. It is also called billable utilisation.

What is a good billable share?

It depends on the work. Owners and managers bill less than people doing client work all day, and every business has hours that cannot be billed. Use your own history rather than a benchmark: track a few weeks and see where it sits.

What is the effective hourly rate?

Your billable revenue divided by every hour you worked, including the hours you could not bill. It is lower than your rate card by exactly the share of time that goes unbilled.

Why 46 weeks?

It is a starting value that allows for holidays and sick days. Change it to your own number.
