Keeping contractor time clean

  • Agree the period, the rate and who approves before the work starts.
  • Ask for a short note on each entry, so the client and you can see what the hours were for.
  • Approve the timesheet before you invoice the client and before you pay, so the hours match.
  • Keep one record: the same hours should feed the client's invoice and the contractor's statement.

Questions

What goes on a contractor timesheet?

The contractor's name, the client or project, the dates worked, the hours for each day or task, the hourly rate, the total owed, and who approved it. A note per entry makes disputes easier to settle.

How often should a contractor submit one?

Weekly or every two weeks suits most work. Agree it up front and keep to the same period so statements and invoices line up.

Who approves it?

Whoever manages the work. Approving before you pay, and before you invoice the client, keeps the hours you bill and the hours you pay the same.

Is a timesheet the same as an invoice?

No. A timesheet records hours. An invoice or pay statement turns them into an amount. Honest Day builds a contractor statement from the same hours at the person's cost rate; it does not send the payment.
